QuickBooks Desktop Sync Page Settings

The Biller Genie QuickBooks Desktop add-on page is where you check connection status, run manual syncs, and adjust sync behavior. This article walks through every setting on that page. Where to find the QuickBooks Desktop add-on page

In the Biller Genie merchant portal, click Add-Ons > QuickBooks Desktop. (If you don't see it, check that the add-on is installed via Add-ons Marketplace.)

Sync status at a glance

At the top of the page, Biller Genie shows real-time sync information:

  • Latest message from MagicCarpet — the most recent status message from the Windows-side app.
  • Last Ping — when MagicCarpet last checked in with Biller Genie's cloud. Should be within a few minutes if MagicCarpet is online.
  • Last Successful Sync — when the most recent successful data exchange happened. May be hours old; what matters is that the gap between Last Ping and Last Successful Sync isn't growing.
  • Last Sync Result — success, partial, or failure of the most recent attempt.
  • Connected company file — which QuickBooks Desktop company file MagicCarpet is currently bound to.

Sync settings

Automatic syncing

  • Auto Sync — controls whether syncs run automatically. Set to Yes for most environments. No pauses background syncing; you'd run syncs manually with the Sync Now button.
  • Auto Sync Interval — how often an automatic sync is initiated (in minutes). 60 minutes or more is recommended. Shorter intervals add load on QuickBooks Desktop without benefit because Biller Genie skips no-op syncs when there are no changes.

Sync performance

  • First Sync Chunk Size — how many records are pulled per request on the very first sync after connecting. The default (5,000) works for most accounts. Lower it if your QuickBooks machine has limited memory; raise it if you have a fast machine and a large file.
  • Delta Sync Chunk Size — same idea for ongoing incremental syncs (default 2,500).
  • Hours to Lookback on Sync — how far back each delta sync checks for changes (default 2 hours). Increase if your business runs across long shifts where activity might fall outside the default lookback window.

Manual actions

  • Sync Now — kicks off an immediate sync, regardless of the auto-sync schedule.
  • Disconnect — revokes the MagicCarpet authorization and stops syncing.

When to change these settings

Most merchants never need to touch the defaults. The most common adjustments are:

  • Turning Auto Sync off temporarily while doing a large data cleanup in QuickBooks Desktop.
  • Raising the Hours to Lookback if your overnight sync sometimes misses very late-day transactions.
  • Lowering the Chunk Sizes if MagicCarpet times out on a memory-constrained machine.
